Your data should survive a bad day

Many businesses keep everything on one computer or one hard drive. One breakdown, one theft or one flood and it is gone. Here are the three ways we protect your data, in plain words, so you can choose.

One hard drive, four ways to lose everything

It breaks

Drives fail without warning, especially after a knock. Recovery is expensive and does not always work.

It is stolen

A break-in, a forgotten bag. The thief has your files, and you no longer do.

The office is hit

A leak, a flood, a fire. The drive goes with the office.

A virus gets in

It locks whatever is plugged into the computer, then asks for a ransom.

If that drive fails tonight, is there an up-to-date copy somewhere other than your office?

Even in a professional data centre, 1 to 2 drives in 100 fail each year. Source: Backblaze, 2025 and 2026.

Three ways to protect your data

All three are far safer than one hard drive. What changes is where your data lives and who looks after it.

Level 1, secure cloud
A vault at the bank

On quote

Your data leaves the office for a specialist data centre, which guards it and backs it up every day.

Unreadable without the key, stored or in transitAn automatic backup every day, kept 7 daysTo get in: your password plus a code on your phone

Level 2, reinforced cloud
A vault and its double

On quote

The same vault, plus a second copy with another provider, and your most sensitive fields under seal.

A copy every night with a second provider, kept 30 daysID numbers and amounts sealed: the host cannot read themOnly approved machines can reach the dataA log of who viewed or changed what, and when

Level 3, private server
A safe in your own office

On quote

A small server on your premises. No host holds your data, but looking after it falls to you and us.

A concrete example for each level

A vault at the bank

Your office floods on Monday morning. The same day, you open your files from another computer as if nothing had happened.

Right for you if: Your main worry is never losing everything again.

The limit: Everything sits with one provider, and a mistake found after 7 days can no longer be undone.

A vault and its double

Someone steals an access and wipes everything at the host. Last night's copy, elsewhere, is intact. You lose a day at most, not your files.

Right for you if: You want peace of mind with no hardware to manage.

The limit: Your data is still hosted outside your office.

A safe in your own office

A break-in: the server is gone. The thief cannot read anything and the off-site copy is intact. The hardware must be replaced, so expect a few days of downtime.

Right for you if: No outside host may hold your data.

The limit: Hardware to buy, and if your office loses power or internet, the system stops.

What if it happened tomorrow?

Pick a situation and see what it means at each level.

The drive or server breaks down

One hard drive: Everything may be lost.

Level 1: Nothing for you to do. The host handles it.

Level 2: Nothing for you to do. The host handles it.

Level 3: We restore last night's copy and replace the hardware.

A break-in at the office

One hard drive: The thief has everything, and you have nothing.

Level 1: Nothing to steal.

Level 2: Nothing to steal.

Level 3: Unreadable for the thief. The copy is safe elsewhere, the hardware must be replaced.

A flood or a fire

One hard drive: Everything is gone.

Level 1: No effect on your data.

Level 2: No effect on your data.

Level 3: The off-site copy is safe. Expect a few days of downtime.

A power or internet cut

One hard drive: No access until it comes back.

Level 1: Your data stays reachable from any other connection.

Level 2: Your data stays reachable from any other connection.

Level 3: The battery shuts down cleanly. The system stops until it comes back.

A file deleted by mistake

One hard drive: Lost, unless an old copy exists.

Level 1: Back to the previous day, within 7 days.

Level 2: Back to the previous day, within 30 days. To the minute on request.

Level 3: Back to the previous day, within 30 days.

A virus on a computer

One hard drive: The drive is locked or copied.

Level 1: Your data is not on that computer.

Level 2: Your data is not on that computer.

Level 3: The server is kept apart and the copies are protected.

A stolen password

One hard drive: Whoever holds the drive can usually read it.

Level 1: Blocked by the code on your phone.

Level 2: Blocked, and only approved machines get near the data.

Level 3: Blocked. Only your own devices can connect.

Your host has a serious problem

One hard drive: Does not apply.

Level 1: You depend on them.

Level 2: The second copy, elsewhere, gets you back.

Level 3: Does not apply.

Who can read your files?

One hard drive: Anyone holding the drive.

Level 1: You and our maintenance team. The host, in theory.

Level 2: The same, except the sealed fields.

Level 3: You and our maintenance team.

Your database stays put. Here is what travels.

Claude (Anthropic)

Only the extracts needed for a request are sent, with names masked when they are not needed. They do not train the models and are deleted within 30 days by default. Zero retention can be requested, subject to Anthropic's approval.

WhatsApp (Meta)

Meta decrypts messages in order to deliver them. We can switch on its no-storage option: one hour in transit at most, nothing kept afterwards. The trade-off: if the server is unreachable for over an hour, incoming messages are lost.

Two assistants, two roles

An assistant for your team can read your database and answers approved numbers only. An assistant for your customers has no access to it at all, and the server enforces that, not its instructions.

Short replies

What travels over WhatsApp stays short: a reference and a summary. ID numbers, amounts and documents stay on a private page.

The same careful method

We look at what you have

Format, size, who uses it. Nothing is copied at this stage.

We build and test with fake data

Your real files stay where they are until everything works.

We move your real data last

Once, in a controlled way, with you.

We prove the backup works

We run a real restore. A backup that was never tested is only a hope.

Common questions

Is the cloud safe enough for confidential files?
For most businesses, yes: a specialist data centre is far better protected than one drive in an office. If your profession or a contract says files must stay on your premises, level 3 is the answer. Those rules decide, not us.
Where is my data stored?
At levels 1 and 2, with a specialist host in a region we agree with you, Singapore by default. At level 3, on a server in your office, with an encrypted copy off site.
Does AI learn from my data?
No. Data sent through the API does not train the models. During setup we only use fake data. If AI tools help us configure your system, we tell you, and their access is removed or the keys changed at the end.
Can you move my data off an old hard drive?
Yes. We first look at the format and the size, then build and test with fake data. Your real files move last. Only then do you decide what happens to the old drive: secure erase or a safe.
How much does it cost?
Every setup is different, so security work is on quote: amount of data, number of users, the level you choose. You get a written quote before anything starts.
